Private practice billing staff for UK consultants and clinics
Private practice billing staff from OffshoreMeds prepare insurer invoices for UK consultants and clinics with CCSD procedure codes, submit them through Healthcode’s Clearing Service and chase what is unpaid. Under UK GDPR you need a written processing contract with us, and because our staff work outside the UK, a transfer mechanism such as the International Data Transfer Agreement plus the data protection test. One flat monthly fee per seat, never a percentage of collections.

The work
What private practice billing staff do
- Code the invoice. The CCSD Schedule holds the standard codes for procedures and diagnostic tests in UK private healthcare, and insurers expect them on the invoice.
- Submit it electronically. Healthcode’s Clearing Service lets a practice invoice the major insurers from one system and checks each invoice against the insurer’s requirements, including procedure codes and fees, before it goes. Healthcode reports 7,430,928 invoices processed from January to July 2026 and 57,432 registered practitioners on its Private Practice Register (Healthcode, About).
- Chase and reconcile. Follow up unpaid and rejected invoices, post payments and keep your aged debt list current.
- Work in your systems. Staff use your practice management system and your Healthcode account, under your access controls.
CCSD requires software providers, billing agencies and consultancy firms to buy an annual licence to use the Schedule commercially, while an individual provider pays no fee but must apply and accept the terms (who needs a CCSD licence). Ask any billing vendor which licence it holds.
We confirm each candidate’s experience with CCSD coding and Healthcode before you interview them.
UK GDPR
The two documents an offshore billing team needs
| Requirement | What it means | Source |
|---|---|---|
| Requirement: Processing contract (Article 28) | What it means: Processing by a processor must be governed by a contract or other legal act that binds the processor to the controller. In the UK this contract does the job a Business Associate Agreement does in the US. | Source: ICO guidance on contracts |
| Requirement: Restricted transfer | What it means: Making personal information accessible to an organisation outside the UK counts as a transfer, even if the data stays on your systems. | Source: ICO international transfers guide |
| Requirement: Transfer mechanism | What it means: UK adequacy regulations for the country, or appropriate safeguards such as the International Data Transfer Agreement or Addendum with the data protection test (the name the legislation now gives the transfer risk assessment, per the ICO guide), or an exception. | Source: ICO international transfers guide |
Before go-live, confirm with Healthcode and with each insurer that your account can be used by staff working outside the UK. We could not confirm this from their public pages. This is general information, not legal advice. Review your payer contracts and the rules where you practice with your compliance advisor.

Cost
What a private practice billing seat costs
A seat costs $1,500 to $2,000 per month, quoted in US dollars. Prices are indicative until your written quote confirms the exact fee. The offshore medical billing cost page shows how to compare a seat with an in-house hire, and how to outsource medical billing sets out the steps in order. Physicians in Canada can read about OHIP billing staff for Ontario.
The terms behind each seat
One flat monthly fee per seat, never a percentage of collections. A Business Associate Agreement is signed before anyone touches protected health information. Clinical decisions stay with your US-licensed providers. See all OffshoreMeds services.
